Guidelines for Social Committee

Duties

The main duties of the social committee are as follows:

Social Hour

The current format of the weekly social hour (a.k.a. donut hour) is as follows:

  • It is held weekly at 3:30pm on Wednesdays in the Wozniak Lounge.
  • The food consists of donuts, bagels, and cream cheese.
  • Donuts are purchased at Euclid cafe, on the west side of Euclid, just north of Hearst. A weekly order is there and waiting for us. This order is currently halved during the summer. There should be a single person who is considered the permanent contact, and the donut shop should have the phone number of that person. Be sure to call in advance for any changes or cancellations to orders.
  • Bagels are purchased at Pane & Cioccolata, also on the west side of Euclid, just north of Hearst. Just like with donuts, a weekly order (halved during the summer) is waiting for us. Again, there should be a single contact person, and be sure to give advance notice of changes or cancellations.
  • Cream cheese is purchased at La Petite Market, on Hearst between Euclid and LeRoy. No advance order necessary. Get three blocks of the cheap stuff during the academic year, two during the summer.
  • Whoever is picking up the food arranges to pick up the checks from the Treasurer.
  • While doable in the summer, it is somewhat difficult for a single person to carry everything, especially during the semester. Two people are better than one for picking the stuff up.
  • There is a supply of plastic knives in the 4th floor kitchenette.

The following ideas, comments, suggestions, etc. should be considered:

  • A regular schedule needs to be set up in advance so that there is always someone to take responsibility for getting the goodies.
  • Perhaps getting the checks on a weekly basis is a bad model, as this allows for yet another point of failure, if the checks aren't ready. Having the checks ready more in advance (for the whole semester, perhaps?) might be better.
  • Neither the time nor the format of social hour needs has to stay the way it currently is. Any changes that might make it better or increase attendance are open for consideration.

Semester Picnic

Once a semester, a picnic is held for the faculty and graduate students. This could be either at Soda Hall (we have a barbeque) or at some other site (Tilden, Redwood, etc.) If holding offsite, a reservation would need to be made well in advance.

The CSGSA is the proud owner of a number of useful plastic containers, for transporting foods and whatnot to and from social events (like the picnic). It is the responsiblity of the social committee to keep these useful items from becoming confused and wandering off, never to be heard from again.

Prelim Party

Once a semester, after prelims are over, it is the responsibility of the social committee to have a party to celebrate for those that have passed. [And console those that have not? :-/ ] In the past, this has taken the form of pizza and beer and soda at LaVal's. Recognizing that LaVal's is not necessarily the pinnacle of culinary delights, other suggestions (e.g. Zachary's?) are always open for consideration.

Other things to keep in mind

  • No matter what you do, some people will likely complain. Tell them that if they want to do it better, they're welcome to help out and/or do it themselves.
  • What is the annual CSGSA budget for social events?
